Your personal data – what is it? 

Personal data relates to a living individual who can be identified from that data. Identification can be by the information alone or in conjunction with any other information in the data controller’s (DS GK COACHING) possession or likely to come into such possession. The processing of personal data is governed by the General Data Protection Regulation 2016/679 (the “GDPR”). 

Who are we? 

DS GK COACHING is the data controller (contact details below). This means it decides how your personal data is processed and for what purposes. 

How do we process your personal data? 

DS GK COACHING complies with its obligations under the GDPR by keeping personal data up to date; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data. 

We use your personal data for the following purposes: - 

  • Registering children & young people into the facility and maintaining membership;
  • Having emergency contact details on file in case of an accident;
  • Having a way of contacting you with information;
  • Having a way of contacting you in case of interest from a third party;
  • Placing posts on social media highlighting both our students and the academy;
  • Having a way of passing information to our students and their parents & guardians;
  • To maintain our own accounts & records;
  • To remind you when our fee’s are due;
  • To advise you and your child of news, events or services which we bring to the Academy or which may be of interest to you or your child;
  • To contact individuals via surveys to conduct research about their opinions of current services or of potential new services that may be offered in the future.

What is the legal basis for processing your personal data? 

  • Consent of the data subject or his / her parent or guardian (see consent form);
  • Processing is necessary for the performance of training so our staff and volunteers have the correct details of the student and if required, any medical conditions that we should be aware of in an emergency;
  • Processing is necessary to protect the vital interests of a data subject where the data is physically or legally incapable of giving consent.

Sharing your personal Data.

Your personal data will be treated as strictly confidential, and will be shared only with management staff within DS GK COACHING. 

We will only share your data with any third parties after having contacted you and received your written consent.

If a club is paying the relevant fee’s for your child we may be required to pass details of their attendance, behaviour, and performance at our sessions; no personal information, apart from their name, will be passed over.

How long do we keep your personal data?

We keep your personal data for no longer than reasonably necessary. 

Whilst your child remains part of our Facility, we will review all information held, to review its relevance at the end of our training year. 

It is up to you as the parent/ guardian of the attendee to advise us of ANY changes throughout the year while your child is registered with us. We cannot be held responsible for changes that we have not been informed of;

After your child has left our facility all personal details will be immediately deleted from our records.

Your rights and your personal data

Unless, subject to an exemption, you have the following rights concerning your and your child’s personal data: - 

  • The right to request a copy of your and your child’s personal data which DS GK COACHING holds about you or your child;
  • The right to request that DS GK COACHING corrects any personal data if it is found to be inaccurate or out of date;
  • The right to request you or your child’s personal data is erased where it is no longer necessary for DS GK COACHING to retain such data;
  • The right to withdraw your consent to the processing at any time although this would mean that we would have to ask you to remove your child from DS GK COACHING with immediate effect as we would no longer be able to hold emergency contact details;
  • The right, where there is a dispute about the accuracy or processing of you or your child’s personal data, to request a restriction is placed on further processing;
  • The right to complain to the Information Commissioner's Office.

Further processing

If we wish to use your personal data for a new purpose, not covered by this Data Protection Notice, then we will provide you with a new notice explaining this new use before commencing the processing and setting out the relevant purposes and processing conditions. Where and whenever necessary, we will seek your prior consent to the new processing
